At CIS we understand that your rental property is a valuable asset. Regardless of how carefully you choose your tenants and reference the tenant’s history it is very likely that some damage will be caused to your property and furnishings.

The first step in protecting your investment is by securing a deposit from your tenants with one of the tenancy deposit schemes. This does not itself provide with you the security you may think you have, in order to make a claim from a tenants deposit; you must have a detailed inventory check in and check-out report. This is where we, at Cambridge Inventory Services can, for a small fee provide you with a comprehensive, detailed inventory check in and check-out report that is fit for purpose.

Councils & Housing Associations

At CIS we understand that local councils and housing association use private landlords to house tenants. When doing so, a deposit bond is provided, thereby promising the landlord that their property will be returned to its original state, leaving the local council or housing association with potential liability.

We, at CIS can provide a full inventory check-in report, at the start of the tenancy, which will produced for the council or housing association who then can forward this on to the tenant and landlord. At the end of the tenancy we will then produce a checkout report with recommendations against any difference in the condition of property and its fixtures and fittings, these recommendations will be a guide line to the council on what repairs they are liable for and what is considered fair wear and tear. 

Tenants

At Cambridge Inventory Services we understand that tenancies now require at least 6 weeks rent as a deposit, although this is secured through a deposit protection scheme we are repeatedly identifying cases where tenants have been charged and had deposits held when they should not have. Services

The Check-in Report

The check in report is created at the time the tenant moves in to the property, the inventory clerk meets with the tenant at the property. The inventory clerk will then go over the inventory for the property with the tenant and agree on additional comments to the inventory with the tenant.

Once our inventory clerk has finished going over the inventory with the tenant a schedule of condition of the property will be produced. This will record the general condition of the property and how clean it is, including meter readings and catalogue the keys given to the tenant. At the end of this the tenant then signs in the check-in declaration

The Check-out Report

Our inventory clerk will go to your property with the check-in report produced at the start of the tenancy and compare this to the current condition of the property. A detailed check-out report is then produced recording any difference in the condition of the property.

If the tenant is present at check-out inspection any difference to the check-in report will be highlighted and the tenant will be advised on the recommendations made. At the end of the check-out inspection we will also record meter readings and take possession of any keys which the tenant has. The check-out report, along with the keys are then returned to the instructing principle.

The Inventory Report

An inventory is a comprehensive report which is created for a specific property; the inventory report will record in detail the condition of all the fixtures, fittings and decor of the premises. The report is compiled by an inventory clerk to give a clear and accurate portrayal of the property and its fixtures, fittings and furnishings, in an industry standard format, that the landlord or the tenant can refer to should there arise any matter to dispute at the end of the tenancy.

The inventory is a very important record. The check-out report, which is produced at the end of the tenancy depends on the inventory report created, without this, the check out report will hold little or no value unless it is accompanied by a detailed inventory report. If a dispute arises the check-out report will be compared to the initial inventory and check-in report.

Mid-term Inspection

Once the tenant has been in place for at least three months it is wise to find out how they are treating the property and whether any suggestions need to be made to them, or if there are any maintenance issues that may need your attention.

We can book an inspection for you directly with the tenant and visit the property at an agreed date and time. From the visit we will compile a report for you containing an overall appraisal of how the tenant is using the property, any suggestions for changes needed and a list of any maintenance issues you need to address and why.

We will check random items against the inventory and check for signs of subletting, malicious damage, unauthorised pets, smoking (if non smoking property) and ascertain the general level of care from the tenant.

As a landlord it gives you an insight into what is going on in the property without having to visit yourself. It is also far cheaper to have a list of potential maintenance items from the report than to send a contractor to the property.

Furthermore, if you are unsure about whether to renew a tenants contract because you have doubts, a mid term inspection in the last two months can give you the details you need to make an informed decision that is the best for you and your investment. After all, no landlord wants to keep bad tenants, however tenants that are respecting the property also need to be treated well as the whole moving process is incredibly difficult for all parties involved.

Mid terms also reduce the risk of void periods between tenancies because if you know the property is being treated well you can extend the contracts for longer periods each time, avoiding changeovers.

Extra rooms/areas will be charged at £9.50 for Unfurnished properties and £12.00 for Furnished properties e.g.
Garages, En-suites bathrooms, second lounge etc.
Heavily furnished properties will incur a 20% surcharge
Cancellations or missed appointments without 24 hours notice will be charged at 20% of the booking fee.
Excessive Milage will be charged at 45p per mile
